COASTAL CURRENTS ARTS FESTIVAL OPEN STUDIOS SUBMISSION FORM GUIDE

Welcome to Coastal Currents Open Studios 2019.

Open Studios usually hundreds of artists and makers in Hastings, St Leonards, Fairlight, Rye, Bexhill, Udimore and NOW Eastbourne who open their studios, houses, beach huts and gardens for just two weekends in September – 31/1 & 7/8 September

This is a great opportunity for everyone involved to network with other artists and organisations, expand their profile, promote and sell their work.

Please return your online application and provide payment by 1st MAY 2019 to guarantee your listing in the brochure.

This year the dates for open studios are: 31/1 & 7/8 September for all areas

As per last year, all our submissions should be made via our online form which you can find here – Open Studios Submissions Form or feel free to email info@coastalcurrents.org.uk for help, advice or guidance.

This form is intended for listings of Open Studios that take place on two specific weekends: 31/1 September 2019 and 7/8 September 2019. However if you are hosting an exhibition or event during the festival period of  September or October anywhere in the 1066/East Sussex region, these should be listed separately in our brochure and you should fill out the Event Submission Form.

About

Open Studios are listed within the festival brochure (40,000+ copies distributed along the coastline between Folkestone & Brighton, at key locations in London and with a concentration in Hastings, St Leonards & Rother). Promotion will be enhanced through exposure on the festival website, flyers and posters.

Each studio will also receive marketing materials and support.

Costs

Single listing (up to 40 words + image) £95

1/2 page listing (up to 180 words + 2 images) £245

Full page listing (up to 360 words + 5 images) £425

Images

● Please send one square image for a Open Studios single listing, two square images for a half-page listing, or five square images for a full-page listing.

● Images should be square and a minimum of 150mm x 150mm and 300dpi, saved as a JPEG.

● Please name the image file(s) with your full name or studio name (i.e. joebloggs.jpg)

● Once you have completed the online form details and clicked “submit” you will be asked to “Upload your image(s)” .

● You will need to upload one image at a time before you click to advance to the next page.

There is a maximum limit on total file size for 5 images of 50mb or an individual image at 10mb however 1mb or 2mb would be an ideal size/weight of file.

●We have asked you to confirm you are happy with the inclusion of your images in our 3rd party promotion which includes Press Releases and other marketing. Please ensure you tick “yes” to allow us to use your images in our cross promotion. If you click “no” we will only use your images on the Coastal Currents website and brochure.

Your details and information

● Please only include listings details that you are happy to be published in the brochure and online.

● Please fill in every section of the form.

● The description is 40 words for a single listing, 180 words for a half page listing and for a full page it is 360 words maximum. The online form will reject your submission and ask you to modify if you have gone over these word limits.

●Our designer will lay out the pages and we will send you a proof of your listing before we go to print, to check that details are correct. This will be sent to the email address submitted on the online form. We will set a cut-off date for amends and due to our tight timescale it is unlikely that mistakes found after this date can be amended. Therefore please keep a close eye on your inbox.

Public Liability Insurance

● It is a legal requirement for ALL artists or artists groups to have their own valid public liability insurance.

This is easily available through most insurers. Artists Newsletter (A-N) provide public liability insurance especially designed for artists/ makers to the value of £5million at: http://www.hencilla.co.uk/unions/a-n/arts-organisers

In some cases public liability can be covered on your home insurance, but you should contact your insurer to gauge this, and confirm this with us.

Payment

We would like to encourage everyone to pay by Paypal. This enables us to clearly trace and record payments, and manage payments more efficiently. Once you have filled out the online application form for Open Studios or exhibition and event listings, you will be taken to a page to upload your image and after that, you will be directed to pay by PayPal. You will then be redirected to the PayPal login page and pay your chosen fee which is derived from your choice of size of listing. This ensures that all payments can be tracked alongside each application making the whole process a lot smoother.

If you are unable to pay by PayPal for whatever reason – don’t start filling in the form as the form won’t complete or store your details without a completed PayPal payment – instead contact us at info@coastalcurrents.org.uk and we can find an alternative.
